TERMS & CONDITIONS

IMPORTANT NOTES:

  • Please read the full Terms and Conditions prior to making payment for your stay.

  • Once payment has been made, the resort has a “NO REFUND POLICY” in place.

  • Guests are asked to bring their own linen, blankets, towels, and pillows.  Unfortunately, our supplier is no longer servicing our area.  We are working hard to find a solution.  Linens can be provided at an additional cost of $50 per bed if you prefer.  Please call or send an email for more information.  We apologize for the inconvenience.

  • All guest arrivals are SELF CHECK IN.  When you arrive, you can go directly to your cabin where you will find a key inside. Site maps can be found on the cottages page of our website with the last picture of each cabin showing you exactly where your cabin is located. If you scroll further down that page, you will see a large size site map that can be downloaded for easy viewing.

  • During the winter months all guests visiting the Mattawa River Resort grounds MUST have all wheel drive and or snow tires on their vehicle.  Mattawa River Resort is not responsible for the any issues with ice and snow on the driveway or at the resort itself.  

 

PAYMENT POLICY

  • A credit card is required at the time of booking to guarantee the reservation.

  • Once payment has been made, the resort has a “NO REFUND POLICY” in place.

  • Our online booking system does NOT charge your credit card automatically.

  • Guests can choose to pay by e-transfer or Credit Card.

  • A 3.5% surcharge is added to all credit card payments.

  • We require a 50% deposit at the time of booking to confirm your cottage rental and your balance is due 14 days prior to your arrival. Sorry, Visa Debit cards are not accepted.

  • A minimum security deposit of $250-$500 CAD and up, depending on cottage, may be pre-authorized on a credit card at check in.

  • Guest is responsible for advising the resort on how many guests there will be prior to arrival.

  • If guests arrive with additional persons at check-in, Mattawa River Resort is not responsible for making provisions for extra guests and reserves the right to cancel the entire reservation and charge accordingly with no refund.

  • Mattawa River Resort reserves the right to withhold the deposit and have it applied to all repair and replacements costs as deemed necessary by the resort.

  • Should the costs exceed the deposit, Mattawa River Resort reserves the right to apply the full cost to the pre-authorized credit card.

  • The registered guest responsible for the room must be at least 21 years of age and must provide a valid credit card in their name along with 1 piece of government issued photo identification at time of check-in.

  • The pre-authorization hold will be released at check-out. Please be advised that it can take up to 10 business days for the funds to be cleared by the credit card financial institution and the resort has no way to control how long the process takes.

 

CHECK IN

 

  • Check in is at 4pm.  If you would like to check in earlier, please contact the resort a minimum of 24 hours prior to check in.  Early check is available at the sole discretion of the resort.

  • Check in process is “self check in”.  You can make your way to your cabin, and you will find a key inside as required.

 

CHECK OUT

 

  • Check out time is 11am, as we need to have time to clean the cabin for the next guest.

  • Guests are provided with a 15-minute grace period. Should guests not leave the cabin within that time, the guest will be subject to an additional charge of $50/half hour they are there.

  • If additional time is required for check out, the guest must book that with the resort a minimum of 24 hours in advance.

CANCELLATION POLICY

  • ​Once a reservation is confirmed with a deposit; there is a NO REFUND POLICY in place.

  • Single Cottage Rentals, Group and Corporate bookings are subject to “Force Majeure”.

  • Booking becomes final within 14 days of check in and cannot be cancelled or changed for any reason.

  • All cancellations made within 14 days of check in will forfeit their full payment with no credit provided.

  • Property reserves the right to issue a credit if able to rebook the cancelled cottage or dates – at property’s sole discretion.

  • All guests who cancel/change their booking with 15 days notice or more, may be issued a credit valid to be used within one year from the original date of check in.  Credit is based on the amount already paid, not on cottage price at time of rebooking.

  • Credit cannot and will not be extended for any reason.  Credit is provided at the discretion of the resort.

  • Mattawa River Resort does not accept responsibility or pay any compensation where the performance or prompt performance of the reservation contract is prevented or affected by reason of circumstances which amount to Force Majeure.

  • Circumstances amounting to Force Majeure include but are not limited to any event which we could not, even with all due care, foresee or avoid. All bookings including but not limited to group, family reunions, weddings and corporate retreats cancelled will forfeit the entire deposit.  However, the resort reserves the right to issue a credit at their full discretion.

  • The property reserves the right, at their discretion, to give credit based on circumstances of cancellation.

  • The property reserves the right, to give credit good for one year and not a cash credit, based on circumstances of cancellation.

 

WATER USAGE

  • Our resort uses a well for water supply and a septic system.

  • Guest agrees to only flush toilet paper down toilet and agrees to pay additional charges for repairs caused by neglect.

  • Please conserve water when possible.  Should water be left on or wasted, it will be necessary to for the well to refill before there is water available to yours, and other cabins.

  • Our water is tested on a monthly basis by Near North Laboratories. 

  • Our water can be safely consumed on a regular basis. However, at some times throughout the year, due to maintenance or other work to our water system, it may be necessary to boil water before consuming during your stay. 

  • Should a "Boil Advisory" be required, Mattawa River Resort will advise our guests in writing at the earliest opportunity.

  • Mattawa River Resort is NOT responsible for water shortages or issues during your stay and does not offer monetary compensation or credit for such.

USE OF PREMISES

 

  • Cottages must be left in the same condition as originally found.

  • Should you check in and find something that is not in good condition or is a concern – it is the responsibility of the guest to report to the resort at time of check in.

  • Unreported issues with your cabin may result in additional charges to the guest upon check out.

  • Any undue or unreasonable cleaning or damage because of the guest’s stay will result in an additional charge.

  • No Smoking inside of the cottages, a $250.00 charge if any smoking in the cabin is detected.

  • We will provide the initial tank of propane for the BBQ. Any additional propane is up to the individual to obtain.

  • Parents/caregiver is fully responsible for the health and safety of minors at the resort.

  • There is no lifeguard on duty, please use a buddy system and do not leave children unsupervised.

  • Canoes and kayaks are complimentary for our guests, please be courteous if others are waiting.

  • Boat launching is complimentary for our guests.

  • Vacationers will comply with all local laws, ordinances, and community rules regarding the use of the premises. Failure to adhere to these rules will be considered sufficient cause for immediate termination of your stay and all monies paid will be forfeited.

 

NIGHTLY CURFEW

  • Quiet Enjoyment. Quiet time is from 11:00pm to 7:00am.

  • Vacationers shall be entitled to the quiet enjoyment of the rental unit.

  • Loud music, loud conversation outside by firepit or inside your cabin that may disturb others is STRICTLY PROHIBITED!

  • Mattawa River Resort reserves the right to immediate termination of your stay with all monies paid forfeited and with no notice should this curfew not be strictly adhered to.

  • Any disturbance resulting in police action, neighborhood complaints or any violation of the rules and regulations is considered sufficient cause for immediate termination of your stay with all monies paid forfeited.

 

LOST & FOUND

  • Any highly valuable recovered or returned items such as cash, wallets, purses, watches, jewelry, eye/sunglasses, electronic devices, car keys or personal documents will be held for a maximum of 90 days.

  • All other recovered items will be held for a maximum of 30 days. To maintain privacy, guests are responsible for initiating contact with the resort regarding any lost items and will bear the responsibility of providing a method of payment for the delivery of the found items.

  • Mattawa River Resort is not responsible for any lost, stolen or forgotten items during your stay.

 

PETS POLICY

  • RESORT ANIMALS ON SITE: The resort has numerous animals on-site that are there for the safety of our guests, family, and staff. They are all friendly animals; however, we ask that you don’t engage with them unless they engage with you. Please keep your pets away from them as well. Please call us for more information.

  • All pets are subject to a $25.00 per night fee up to a maximum of $150.00 for a week-long stay.

  • No pets, including service animals, may be left unattended anywhere at the resort without the consent of management. Failure to comply may result in the immediate ejection from the resort for the animal and guest at the sole discretion of the resort. No refund or credit will be given.

  • Any aggression shown by your pet toward other animals or guests is subject to immediate ejection from the resort for the animal and guest at the sole discretion of the resort. No refund or credit will be given.

  • In the event your pet is causing a disturbance of any kind, you will be contacted immediately and required to quiet your pet to the satisfaction of management.

  • Should disturbance persist, Mattawa River Resort has the right to require the removal of the animal from the premises and/or charge your credit card an additional $275.00 charge.

  • The guest is 100% responsible for the health and safety of their pet.

  • Mattawa River Resort is not responsible or liable in any way for the health or well-being of any pets brought to the resort.

  • All pets must be always on a leash at all times. Guests will be given only one warning before the animal will be required to leave the premises or subject to a $150.00 fine from the resort.

  • Pets are not permitted in the Lodge or lodge patio area.

  • Service Dogs are exempt from the above resort fees and public access rules.  Proper legal documentation must be provided upon request to confirm the “Service” Status.  Failure to do so, will result in the full pet fee charge.

  • Mattawa River Resort reserves the right to charge fees for service animals at any time.

  • Any damages caused to furnishings, carpet, cabin or resort will result in additional charges. Fees will be based upon repair costs and start at $100.00.
